Patient Service Representatives

Full Job Description

Job Type: Full-time, Monday - Friday

Patient Service Representatives (PSRs) have a significant role at Moreland OB-GYN. PSRs are the first and last point of contact for patients. This position provides general office support with a variety of clerical activities and related tasks.

Position Responsibilities:

Essential duties include providing excellent customer/patient services via phone and in person; referring callers to the appropriate departments; making appointments for patients according to clinic protocols, registration and ensuring accurate and up to date insurance information is collected.

  • Greet and check in patients in a friendly manner.
  • Collect co-payments and verify insurance coverage.
  • Schedule and confirm patient appointments.
  • Register and update patient information in electronic health record.
  • Maintain a clean, orderly and professional waiting room, reception area.

Minimum Education and Experience:

  • High School Diploma or equivalent.
  • Preferred candidates will have experience in a healthcare office or fast-paced, highly interactive customer service environment. (Experience in the medical industry with scheduling and verifying insurances preferred.)
  • EPIC experience preferred, but not required.
  • Self-motivated with the ability to exceed patient expectations.
  • Excellent organizational skills to effectively handle multiple tasks.
  • Possess excellent interpersonal communication skills.

Centralized Scheduler

Full Job Description

Full-Time, Monday - Friday, must be able to work between the hours of 7:30am - 6pm

Schedulers have a significant role at Moreland OB-GYN. This position is responsible for answering incoming phone calls for appointment scheduling. Serves as a liaison between patient and medical support staff by performing the following duties:

  • Answers telephone, screen calls, and takes messages when appropriate.
  • Schedules patient appointments and coordinates cancellations, reschedules, and additions to schedules while adhering to the clinic protocols. Provides accurate, detailed information regarding test preparations, time patient to arrive, and any other directional information needed by patient.
  • Schedules interpreter when needed.
  • Monitors referral and follow up appointment work queues.
  • Oversees providers schedules and templates. Makes changes when necessary.
  • Sends necessary paperwork and information to patients for appropriate appointment types via mail or electronically.
  • Completes a thorough registration by accurately entering and verifying patient’s medical insurance and demographics in Epic.
  • Ensures insurance and patient information obtained is complete and accurate, applying acquired knowledge of government and third-party payer requirements.
  • Updates insurance, financial responsibility, and other data when changes or additions occur.
  • Communicates with the Business Office regarding insurance coverage and outstanding balances.
  • Provides the highest level of patient service by problem solving, documenting patient concerns, and identifying appropriate follow-up for patients.
  • Responsible for management of EPIC In-Basket for the Scheduling Department.
  • Performs other related duties as assigned.

Minimum Education and Experience:

  • High School Diploma or equivalent.

Surgery Scheduling/Centralized Scheduling Lead

Full Job Description

Job Type: Full-time, Monday – Friday

Leading a team that is responsible for scheduling and coordinating in office, outpatient, and inpatient procedures/visits through effective leadership, involvement and quality control audits. Works closely with the Operations Manager to address workflow improvement opportunities and changes that challenge the continuation of achieving superior results.

Duties and Responsibilities include the following:

  • Perform routine quality control audits, that are effective to team improvement and growth.
  • Develops and maintains process document library for team.
  • Responsible for onboarding new team members and team development.
  • Problem solves to resolution team issues with internal departments and/or external resources to ensure minimal disruption in workflow.
  • Ability to rotate throughout team to be a resource when staff shortages present, to achieve organizational/team goals are not sacrificed.
  • Ensures information obtained is complete and accurate, applying acquired knowledge of Medicare, Medicaid, and third-party payer requirements/on-line eligibility system.
  • Provides timely and accurate patient and physician communications.
  • Communicates patient questions and concerns to physicians.
  • Provides patients with oral instruction and an individualized material appropriate to their procedures in a time sensitive manner.
  • Schedules and maintains calendar of appointments for inpatient, outpatient, and in-office surgeries.
  • Contacts insurance carriers to obtain benefit coverage, policy limitations, authorization/notification, and pre-certifications for patients. Follows up with physicians, business office, patients and third-party payers to complete the pre-certification process.
  • Leads in the collaboration with internal departments to provide account status updates, coordinate the resolution of issues, and appeal denied authorizations.
  • Maintains knowledge of and reference materials of the following: Medicare, Medicaid and third-party payer requirements, guidelines and policies, insurance plans requiring pre-authorization and a list of current accepted insurance plans.
  • Performs other related duties as assigned.

Proven effective experience in leading a team or project to achieve stated objectives.
